Olympic Short Film Contest
The Programme
The Olympic Short Film Contest operates on the elimination principle, in two stages: the first round and the final.
The first round will start in June 2009 with eight directors competing. Each of the four partner institutions will put forward two directors, who will compete against each other. The films will be posted on the official competition site for internet users to vote on, from 1 to 13 July 2009.
For the final in August 2009, just four directors will remain in contention, one per partner institution. The candidates will do their filming in Lausanne, Olympic Capital, and will have just one week to produce and edit their film before presenting it on the internet. Internet users will be able to vote on the films between 9 and 21 September 2009 on the official competition website.
Three prizes will be awarded:
The “Grand Prix”, worth CHF 7,500, for the best film of the competition.
The “Prix du Jury”, worth CHF 5,000, for the second best film of the competition
The “Prix du Public”, worth CHF 2,500, for the film with the most votes from internet users

PARTICIPATION REGULATIONS
Article 1. Presentation
The Olympic Museum presents the Olympic Short Film Contest (hereinafter the “Contest”) with the support of the City of Lausanne and in cooperation with the following participating organisations (hereinafter the “Participating Organisations”): Museu Olimpic i de l'Esport (Barcelona, Spain), the Xiamen Olympic Museum (Xiamen, People’s Republic of China), Departamento Cultural of the Comité Olimpico Brasileiro (Rio, Brazil) and The Olympic Museum (Lausanne, Switzerland). The Contest is organised in cooperation with Base-court, an association based in Lausanne, Switzerland involved in the promotion and the diffusion of short films in Switzerland.
The Contest' objectives are:
- to organise an international film contest focusing on the cinematographic art
- to promote the values of the Olympic Movement such as excellence, friendship and respect
- to create a link between the Olympic Movement and film directors, schools and festivals
- to provide support to young directors and creators of audiovisual works.
Article 2. Candidates
The Contest is intended for professional and amateur directors, in the audiovisual field (aged at least 18). Each Candidate must be presented by one of the four Participating Organisations to be eligible for the Preselection Phase.
Article 3. Competition
The Contest will take place as follows:
3.1. Preselection Phase: 15 March until 15 May 2009
- Each Candidate must prove his or her audiovisual experience by providing to one of the four Participating Organisations one or two films of a maximum length of 5 minutes each.
- The deadline for submission of the films is 15 May 2009.
- The language of such films is free, however if a film is not in the official language of the country of a Participating Organisation, it must be subtitled accordingly.
- Films must be either original or have been realized after 1 January 2007.
- Each Participating Organisation will select two Candidates (hereinafter the “Selected Candidates”), to compete in the Contest. Such Selected Candidates will be informed directly by e-mail by 31 May 2009 at the latest.
- Films must be sent in DVD format to the address of the Participating Organisation with which the Candidate has registered to participate in the Preselection Phase, namely:

3.2. First Round
Shooting at the place of residence from 8 to 28 June 2009
As from this stage on, the Contest is only open to the Selected Candidates and all films shall have to be original and new, created and produced in the context and for the purposes of the Contest only (hereinafter the “Participating Films”).
- The Participating Films submitted by the Selected Candidates for the First Round must be of a maximum length of 5 minutes, based on a theme imposed by the Organising Committee.
- The deadline for submission of the Participating Films is 29 June 2009.
- English subtitling of non-English-language films is required.
- Selected Candidates will be granted access, at no cost, to a selection of images from the archives of The Olympic Museum. The Participating Films must include images from the archives of The Olympic Museum. Archive images provided by The Olympic Museum shall be used solely for the purposes of inclusion in Participating Films and in strict compliance with the terms and conditions of the license granted by The Olympic Museum.
- Vote by the public on the Internet from 1 to 13 July 2009.
- The internet vote shall designate the Selected Candidates eligible to compete in the Final Round (hereinafter the “Finalist Candidates”). The Finalist Candidates shall be informed by e-mail by 31 July 2009 at the latest.
3.3. Final Round
Shooting in Lausanne from 24 to 30 August 2009
As from this stage on, the Contest is only open to the Finalist Candidates.
- The Participating Films submitted by the Finalist Candidates for the Final Round must be of a maximum length of 5 minutes, based on a theme imposed by the Organising Committee.
- The deadline for submission of the Participating Films is 7 September 2009.
- English subtitling of non-English-language films is required.
- Finalist Candidates will be granted access, at no cost, to a selection of images from the archives of The Olympic Museum. The Participating Films must include images from the archives of The Olympic Museum. Archive images provided by The Olympic Museum shall be used solely for the purposes of inclusion in Participating Films and in strict compliance with the terms and conditions of the license granted by The Olympic Museum.
At least one recognizable location in Lausanne must also be included in the
Participating Films.
- Vote by the public on the internet from 9 to 21 September 2009 and by a professional jury.
- There are three awards: the “Prix du Public” based on the internet vote, the “Grand Prix” and the “Prix du Jury”, awarded by the professional jury. The winners of the Awards will be informed by e-mail by 30 September 2009.
- Transport to Lausanne and accommodation in Lausanne shall be provided for up to three persons per Participating Film.
The Organising Committee reserves the right to cancel or modify any of the above dates and venues.
3.4. Compliance
All films must comply at all times with the terms hereof. The Participating Organisations and/or the Organizing Committee may at any time, at their sole discretion, exclude any film or any Candidate in case of breach of such terms. The following conditions are of particular importance:
- The films must comply with the theme defined by the Organising Committee
- The films must be submitted in the required format: the Participating Films must be uploaded in a Quicktime format to an “ftp” server, which address will be given to the Selected Candidates
- All films must meet industry standards in terms of technical quality
- The Candidates bear all costs of participation to this Contest, including in relation to the production of the films, subject to section 4.2 hereof.
- Any film genre is accepted, but the Organising Committee will refuse Participant Films that have violent, racist or/and pornographic content or which otherwise violate applicable laws or public order and morality
The film masters will be returned to the Candidates after the Contest upon written request, but the Organising Committee declines any liability for any loss, theft or damage to any of the masters.
Article 4. Intellectual Property Rights
4.1. Candidates (including the Selected Candidates) shall not, without the prior written consent of the International Olympic Committee (the “IOC”) or, where applicable, of The Olympic Museum, use or authorize the use of, any emblem, trademark, theme, logo, Olympic mascot or other designation suggesting that he is related to the IOC or The Olympic Museum or that Candidates and Selected Candidates maintain any particular relation with the IOC or The Olympic Museum. The obligations arising from this provision shall not expire on termination of this Agreement.
4.2. In the framework of the First Round and the Final Round (excluding the Preselection Phase), a unique indemnity of CHF 4’000.- will be paid by the Organizing Committee to each Selected Candidate. As a counterpart, each Selected Candidate acknowledges and accepts that the Participating Films produced and realized in any format, shall be the sole property of The Olympic Museum. Selected Candidates agree, to the full extent necessary and in order to ensure the foregoing, to transfer and assign any and all intellectual property rights relating to the films to The Olympic Museum, as per Article 4.4 hereunder. The Selected Candidates accept not to publish, give to be published, disclose or otherwise use the Participating Films for any reason whatsoever without the prior written consent of The Olympic Museum.
4.3. The Organising Committee plans to produce a DVD of the 8 films of the First Round, as well as the 4 films of the Final Round. In case of a commercial exploitation of any film or any DVD, the split of profit shall be as follows:
- In case of financial earnings related to a DVD, 75 % of the profits (after deduction of costs) will be paid to the directors and 25 % would be kept by the Organising Committee.
- In case of financial earnings related to a single film 60 % of the profits (after deduction of costs) will be paid to the concerned director and 40 % would be kept by the Organising Committee.
The Organising Committee does not guarantee nor commit that any Participating Films will be exploited for commercial purposes. No Selected Candidate has any right to request that a Participating Film be commercially exploited.
4.4. Selected Candidates warrant to the Organising Committee that (i) they own all rights in the Participating Films (ii) such Participating Films do not violate any existing copyright or any other intellectual property rights of a third party and (iii) Selected Candidates obtained any and all permissions for the use of third party material contained in the Participating Films and all other necessary authorisations (such as, without limitation, the approval and the consent of any person featured in the Participating Films). Upon first request from the Organising Committee, Selected Candidates shall provide to the Organising Committee a copy of such written authorisation.
4.5. Selected Candidates hereby irrevocably assign and transfer to The Olympic Museum any and all rights, title and interest, including intellectual property rights, throughout the world, without any limitation of time and without any restriction whatsoever, in and to the Participating Films, including, without limitation, the right to broadcast licence, transfer, reproduce, copy, edit, alter, adapt, modify or distribute the Participating Films, in any media and forms now existing or that may exist in the future. Selected Candidates agree to execute, at the Organising Committee’s request, any and all documents and other instruments necessary to prove or confirm such assignment.
4.6. Selected Candidates shall be mentioned as the author of a Participating Film, each time a Participating Film is used, in the standard and usual manner for the use in question.
4.7. Selected Candidates guarantee to the Organising Committee that he/she is fully entitled to dispose of the rights to which the present transfer is referring and that in case Selected Candidates are a member of a copyright collecting association to which he/she would have assigned in advance his copyright in future works, Selected Candidates guarantee to the Organising Committee that he/she has obtained from said copyright collecting association the express exclusion of the films from the general assignment of future works.
Article 5. Awards
The following Awards will be granted:
- the “Grand Prix” of CHF 7’500.- will be allocated to the best Participating Film of the Contest and decided by the Jury
- the “Prix du Jury” of CHF 5’000.- will be allocated to the second best Participating Film of the Contest and decided by the Jury
- the “Prix du Public” of CHF 2’500.- will be allocated to the best Participating Film according to the public vote
The Organising Committee reserves the right to modify the nature and/or the value of the Awards until the day of the award.
Article 6. Miscellaneous
To the extent permitted by law, Candidates (including Selected Candidates) shall have no right of recourse (whether through ordinary courts or arbitration or else) with respect to this Contest and in particular, but without limitation, against the results of this Contest. No correspondence shall be exchanged in relation to this Contest.
Article 7. Applicable law and jurisdiction
7.1. These regulations and this Contest are subject to the laws of Switzerland.
7.2. No ordinary court of any country shall be competent with respect to any claim, dispute or litigation in relation to this Contest. Should the above-mentioned restriction to recourse (as per article 6) be invalid or void, any dispute shall be submitted to the ordinary courts of Lausanne, Switzerland.
